Authority Reporting with GuestAdmin

The GuestAdmin integration enables automated authority reporting and guest registration for your properties. GuestAdmin collects required guest information, submits reports to local authorities, and handles government-specific compliance requirements — helping you meet regional guest registration regulations while streamlining your check-in process.

This integration is particularly valuable for properties in European countries with mandatory guest registration requirements (e.g., Italy, Spain, Portugal).


When a guest completes the authority reporting step during check-in on the guest portal, SuiteOp sends their information to GuestAdmin, which submits the required reports to local authorities on your behalf.

The flow works as follows:

  1. A guest opens the guest portal and reaches the Authority Reporting verification step
  2. The guest provides the number of children in their party (if applicable)
  3. SuiteOp creates a booking in GuestAdmin and submits the guest’s details
  4. GuestAdmin processes the check-in and submits the report to the local authority
  5. The verification step is marked as completed once GuestAdmin confirms the submission

Before setting up authority reporting, you need:

  • A GuestAdmin account (SuiteOp will provide access)
  • Admin or Owner role in SuiteOp (the manage_properties permission is required)
  • Your government reporting credentials from your local authority (username/password or fiscal code, depending on region)

Properties must be linked to GuestAdmin before authority reporting can work. You manage this from the GuestAdmin integration page.

  1. Open the GuestAdmin integration page

    Navigate to Settings > Integrations and select GuestAdmin. You will see a table listing all GuestAdmin properties with their active status and linked SuiteOp property.

  2. Create a new GuestAdmin property

    Click Connect Property to open the property creation form. The form has four steps:

    1. Basic info — Enter the property name and display name
    2. Location — Enter the full address including country, state/region, city, and postal code
    3. Emergency & Access — Add emergency contact details and access codes (door code, alarm code, gate code)
    4. Government Reporting — Enter your housing code, government type, payment method, renter code, and authority credentials (e.g., SES username/password for Italian properties)
  3. Link to a SuiteOp property

    Each GuestAdmin property should be linked to its corresponding SuiteOp property. Use the SuiteOp Property dropdown in the table to select the matching property. This link is required for authority reporting to work — it tells SuiteOp which GuestAdmin property to use when a guest checks in.

  4. Verify the connection

    Once linked, the property row will show the SuiteOp property name. The property is now ready for authority reporting.


To update a connected property:

  • Find the property in the GuestAdmin integration table
  • Click the Edit button on the property row
  • Update any of the four sections (basic info, location, emergency & access, government reporting)
  • Click Save to apply changes

GuestAdmin supports multiple government reporting systems depending on your country and region. When creating a property, you will select the appropriate government type:

  • SES (Italy) — Requires a fiscal code and SES credentials (username and password). Used for Alloggiati Web reporting.
  • SIBA/SEF (Portugal) — Requires a housing unit identifier.
  • Other regional systems — Additional government types may be available depending on your country selection.

Once GuestAdmin is configured and an Authority Reporting verification step is assigned to the property’s portal, guests will complete the reporting as part of their check-in flow.

How it works for guests:

  • Guest opens the guest portal and navigates to their check-in steps
  • Guest reaches the Authority Reporting step
  • Guest provides the number of children in their party (if any)
  • Guest submits the form
  • SuiteOp automatically creates a booking in GuestAdmin and submits the guest’s check-in details
  • The step status updates to Completed once GuestAdmin confirms the submission

To check the status of a guest’s authority report:

  • Open the reservation in SuiteOp
  • Scroll to the verification section
  • Expand the Authority Reporting step to see the current status

Possible statuses include:

  • Pending — Guest has not started the step
  • In Progress — Guest has started but not completed the submission
  • Completed — Report was successfully submitted to the local authority
  • Failed — Submission encountered an error (guest can retry)
