SuiteScan Video Walkthroughs

SuiteScan lets you record a short video walkthrough of a property while narrating what you see. The AI analyzes your video, transcription, and any photos you capture to automatically generate tasks for your team — complete with titles, descriptions, priorities, and room assignments.


SuiteScan is a task requirement type. When a task template includes a SuiteScan requirement, the person completing the task can record a video walkthrough directly from their browser. The recording is uploaded and processed by AI, which extracts actionable maintenance and cleaning tasks.

The full flow works like this:

  1. Record — Walk through the property with your camera and microphone, narrating issues as you go
  2. Capture photos — Tap the shutter button to photograph specific problems during the walkthrough
  3. AI processing — The video, audio transcription, and photos are analyzed to identify issues
  4. Review tasks — Edit the AI-suggested tasks (title, priority, department, due date) before creating them
  5. Create tasks — Confirm and create the tasks, which are added to your task management system

To use SuiteScan, you need to add it as a requirement type in a task template.

  1. Go to Tasks > Templates in the navigation
  2. Select an existing template or create a new one (e.g., an “Inspection” template)
  3. Add a new section for the walkthrough (e.g., “Property Walkthrough”)
  4. Choose SuiteScan as the requirement type
  5. Save the template

When a task is created from this template, the person completing it will see the SuiteScan card with a Start Recording button.


When you open a task with a SuiteScan requirement, you will see a card labeled SuiteScan with the subtitle “AI-powered video walkthrough.”

  1. Tap Start Recording — your browser will request camera and microphone access
  2. Review the coaching tips that appear before recording begins:
    • Name each room — Say the room name out loud as you walk in so the AI knows your location
    • Point out issues and take photos — Describe what you see and use the capture button to photograph problems
    • Describe urgency — Tell the AI how urgent each issue feels to help prioritize tasks
  3. Tap Start Walkthrough to begin recording
  4. Walk through the property, narrating issues as you encounter them
  5. Use the Capture button (shutter icon) to take still photos of specific problems
  6. Use Pause / Resume if you need to stop briefly
  7. When finished, tap Stop Recording and confirm with Stop & Upload

After you stop recording, the video is uploaded and processed through several stages:

  • Video uploaded — Your recording is sent to cloud storage
  • Transcription complete — The audio is transcribed to text
  • Analyzing walkthrough — AI reviews the video and transcription to identify issues
  • Analyzing photos — Any captured photos are analyzed for additional problems

Processing typically takes 15–30 seconds. You can close the dialog and processing will continue in the background — you will see a “Processing your walkthrough…” indicator on the task.

If processing fails, a Retry Processing button will appear so you can try again.


Once processing completes, you will see a list of AI-suggested tasks. Each task card shows:

  • Title and description — Pre-filled based on what the AI detected
  • Priority — High, Medium, or Low, estimated by the AI based on your narration
  • Photo — A frame from the video or a still you captured, matched to the issue
  • Transcript excerpt — The relevant portion of your narration

You can edit any field before creating the task:

  • Change the title or description
  • Adjust the priority
  • Assign a department and template
  • Set a due date
  • Remove tasks you do not want to create

When you are satisfied, tap Create Task on individual cards or Create All Tasks to create them in bulk. Created tasks appear in your regular task list and can be assigned, scheduled, and tracked like any other task.


After a SuiteScan is completed, the task requirement card shows a summary with:

  • View Results — Reopen the task list to review or create additional tasks
  • Play Video — Watch back the recorded walkthrough (available for 7 days after recording)

  • Browser support — SuiteScan requires a browser that supports the MediaRecorder API (Chrome, Edge, Safari 14.5+, Firefox). An error message appears if your browser is not supported.
  • Permissions — Camera and microphone access must be granted. If you accidentally denied permission, reset it in your browser settings and try again.
  • Permissions to unlink — Unlinking a SuiteScan session requires the manage_organization permission.
